Global technology PR agency AxiCom is responsible for delivering successful media campaigns for clients ranging from large multinational organizations to innovative start-ups. Whether PR programs are being implemented for clients in one country or 50, content approval, document versioning and client reporting have to be managed quickly and efficiently. Teams are based in offices across the US and Europe and everyone needs to be able to access required content regardless of their location or the time of day. Recognizing that email was no longer a sufficient way to share information and files, AxiCom turned to Huddle.

"When teams rely on emails to collate feedback and updates to documents, such as press releases, there is often confusion around what file version they're working on," said Lyle Closs, Managing Director Europe, AxiCom. "Sometimes we have eight or more people working on one client and we needed a secure online environment where we could manage approvals effectively, upload reports and store meeting minutes and actions. Huddle proved to have an easy-to-use interface and it is regularly updated to reflect the features that our clients require."
To provide clients and account teams with full transparency of project timelines, allocated tasks, and content requiring review and approval, AxiCom deployed a number of branded Huddle workspaces. As well as being the ideal place to keep brainstorm ideas and all information relating to a campaign or project, many teams also use Huddle as an image repository. Using Huddle's media viewer, people can instantly view content within their workspaces.
"We often get calls from the press requesting pictures of spokespeople or products to accompany their articles," Lyle continues. "With all our digital assets stored in Huddle, each member of the team knows exactly where to find the images needed and they can send them over to the journalist ahead of their deadline. Gaining client approval on content has also become much simpler thanks to Huddle. As soon as a new file is uploaded, the client can be notified and a deadline can be set for review."
Rather than sending clients weekly, monthly or quarterly reports in an email, including large attachments, account teams now notify clients as soon their latest report is uploaded in Huddle. Everything they need access to is in the workspace and comments can be added directly to files. By reducing the amount of time spent on chasing approvals and dealing with administration, AxiCom's account teams can focus on delivering creative and innovative ideas to their clients.
