Huddle and Traffic Management Solutions work together to keep the traffic flowing.

Traffic Management Systems (TMS) has been using Huddle since April 2009 for data control and electronic communication with its clients.

TMS make the roads safe for workmen to undertake necessary road works to improve and maintain our nation's traffic systems.

"In short", says director Peter Ryland, "we put cones on the road. We are a privately held company and our customers are typically main contractors working for local authorities and the Highways Agency."

The company sought an online collaboration tool to simplify the sharing of information with its clients. Huddle enables TMS to share key information such as method statements, risk assessments, AutoCad design layouts for temporary trafic management and setting site meetings.

For example TMS is currently working in central London, which is a highly traffic sensitive area, and on a job of this nature over 20 drawings will be shared in large data files.

In buying into Huddle, TMS were looking to improve their quality management systems of communication both in terms of time and efficiency, and direct involvement of their customers. Previously TMS shared the data on discs and the traditional 'snail mail' - a time consuming and potentially unreliable method of communication.

Before learning about Huddle, TMS considered having a web page designed that would allow the upload and easy online transfer of files. This would have involved consulting and committing a web design company for a content management system. This would have been very expensive and may not have achieved the solution required. Huddle's off-the-shelf system was far easier and more cost effective. Now, TMS stores and shares all of its data in five Huddle Workspaces - administration data, health and safety, drawings, directors and accounting.

One of the Huddle Workspaces TMS operates is for the sharing of layout design drawings for planned work by the London Borough of Barnet and Transport for London (TFL). TMS creates highly detailed plans of how traffic will flow during roadworks, and these plans must be approved prior to work beginning. The size of these large data files prevented them being sent on email. Prior to using Huddle, TMS would save the files onto CDs and post them to the clients. Any communications, queries and approvals could take several days – sometimes weeks. Time is money. Now, with Huddle, TMS can upload the documents into the workspace, Huddle automatically notfies the clients that the documents are available, and they and the invited team members can review and provide comments. Approval by all parties is simply done by checking the 'approved' button. It is important at every stage of the project that approvals are sought and confirmed before actually putting a cone on the road. In today's litigious society, if there wer an incident or an accident a clear audit trail of approvals ensures accountability by individuals at every stage of the project. Huddle has achieved this for TMS.

We use the central diary and task settings, which eliminates the problem of my normal memory failure! It also ensures that my team can be tasked and doesn't escape keeping projects moving forward because I have forgotten to follow up or because I'm not there."

"Before using Huddle, there was a lack of transparency around sharing data as it was kept on individuals laptops or memory sticks and therefore not easily available to the directors. This came about because TMS is a lean organisation in terms of staff with no central server or network for data. As the company expanded this became a problem."

Using a central repository in Huddle, the team keeps Peter fully updated so there is no time wasted chasing staff for information. Peter said: "It makes my life so much easier to know where data is rather than asking for it. I just go into Huddle no matter where I am and I'm up to speed on all projects. We have so much data dealing with administration, health and safety, sharing of traffic management designs, risk assessments, and all of it is governed by the ISO 9001 quality system. Instead of having files in old-fashioned filing cabinets, we've now set up a contract workspace so that every job we do has a folder containing all data required. Whatever information is required for that job it is available in that workspace to all those invited to share."

TMS is using 14 workspaces so far and has involved three clients with their own workspaces and teams. TMS plans to involve all its customer base with Huddle within the next 12 months.

"Huddle makes our work so much more transparent," said Peter. "With 40 guys working on the road putting down cones we can only plan one week ahead. In our business things change daily. For example the weather is a major factor that often causes clients to reschedule their work at short notice. I always need to know how many workmen are out there at any given time by client, by vehicle and by location. We have a workspace called 'programme' where all this data is held on an Excel spreadsheet. This is updated daily by the contracts manager with a full audit trail of all changes."

"For the first time in the five years TMS has been in business, I now have everything at my fingertips, as do the rest of my team. We have recently achieved BS EN ISO 9001-2008 and Huddle now forms an integral part of our quality management system. Huddle has had an immediate positive impact on the efficiency of internal and external communications in my business."

TMS lists the main benefits to using Huddle:

  • The ability to share information with people outside the organisation gives TMS a significant advantage over competitors in the industry because they can work far more quickly and efficiently.
  • Significantly improved internal communications. Information held in silos on individual laptops that aren't linked is a hindrance to any business. Now, TMS staff can access all data online anywhere, anytime.

Peter sums up his love of Huddle: "In our case the alternative was writing our own site which would have cost us thousands. Huddle as an off-the-shelf solution was a huge advantage. We can make it totally transparent or totally secure by restricting access on a need to know basis. We intend to maximise the use of Huddle's powerful communication features including discussion groups, whiteboards and project management through task setting."
