The Civil Aviation Authority (CAA) is the UK’s specialist aviation regulator. Overseeing the UK’s airlines, aircraft engineers, air traffic controllers and flying enthusiasts, the CAA is a world leader in its field and is often called upon to consult other international aviation organizations. Dealing with tens of thousands of people and managing the scarce resource of airspace, it’s essential to have the most accurate and up-to-date to date information at hand. Content needed to be easy to find and manage to ensure that everyone was on the same page. 

A 40-year-old policy gets a facelift

Recognizing that email and legacy ICT systems were no longer sufficient tools to keep everyone up to date, the CAA turned to Huddle to support the development of the Future Airspace Strategy (FAS). The detailed policy will update a structure put in place nearly half a century ago. As with any new policy, it requires input from many different organizations and edits from a number of experts. These include the Department of Transport, Ministry of Defence, airports and airlines, NATS, and light aircraft organizations. With such a large number of stakeholders, both internally and externally, the CAA hoped that Huddle’s collaboration and content management platform would make processes more efficient. “Working on such an important document, it was essential that we could easily track any edits made and coordinate all the comments in one place,” explains James Walker, Business Coordinator, Directorate of Airspace Policy. “We wanted to cut down on the number of emails sent with documents attached and instead store all the files in one central location.” There were a number of processes that needed to be put in place, outlining a program of what the CAA needed to generate and define the policy. The CAA needed a solution that would provide a single portal for any content associated with the policy. This would ensure that all parties were working from the most up-to-date version and reduce the amount of time spent chasing approvals or wasted using outdated versions. 

Transparency never looked so good

The CAA can choose who can access each workspace and control who can download and edit which documents, providing an added level of security.
